Venue no-show calculator

A booked court that nobody turns up for earns nothing, and it was turned away from someone else. Enter your venue's numbers to see what no-shows cost you each month, and what cutting them would bring back.

The share of your open hours that get booked. Count no-shows as booked.
Of the hours booked, the share nobody turned up or paid for. Not sure? Count it for four weeks.
Your own target. From 8% to 5% is 3 points. We don't promise any reduction.

Each month

See how Venue Booking handles reminders and approvals →

An estimate from your own figures, not a forecast. It assumes a no-show pays nothing and the hour isn't resold, and uses 52 ÷ 12 weeks a month. Product details checked on 23 October 2026 against the Venue Booking plugin code (free version 1.11.3, and 1.16.2 of the edition sold on our page) and our Venue Booking page.

How the estimate works

  1. Sellable hours a month = units × open hours a day × days a week × 52 ÷ 12 =
  2. Booked hours = sellable hours × utilisation =
  3. Revenue booked = booked hours × price per hour = RM
  4. No-show hours = booked hours × no-show rate =
  5. Lost to no-shows = no-show hours × price per hour = RM
  6. Brought back = booked hours × points cut × price per hour = RM

A single price per hour is a simplification. No-shows tend to cluster at peak times, when your price is highest and the slot was hardest to get, so if your peak rate is higher, the real figure is likely to be higher too.

What Venue Booking does about no-shows

Reminder emails

One email before each approved booking, sent at a time you choose, from 1 to 168 hours ahead. Pending, rejected and cancelled bookings are never reminded. Reminders come with the edition sold on our Venue Booking page, not the free plugin on WordPress.org.

Approval on every booking

Every booking arrives as pending. You approve or reject it, and the customer is emailed either way. A pending request holds its slot until you decide, so decide quickly. A booking paid online is approved as soon as the payment is confirmed.

Cancelled slots go back on sale

When you cancel or reject a booking, its slot can be booked again straight away. Customers can't cancel an hourly booking online themselves: they contact you, and you cancel it in the dashboard.

Online payment: full price, no deposits

With online payment switched on, customers pay the full price when they book, through HitPay, Stripe or 2C2P, and an unpaid booking releases its slot after 30 minutes. There is no deposit option yet. Online payment comes with the edition sold on our Venue Booking page, not the free plugin on WordPress.org.

Reports for your inputs

Utilisation, revenue per available hour and bookings by status, for any period. That gives you the utilisation figure above. No-shows aren't recorded for hourly bookings, so count those yourself.

Common questions

How is the revenue lost to no-shows worked out?
Sellable hours a month are your units times open hours a day times days a week, times 52 and divided by 12. Booked hours are that times your utilisation. No-show hours are booked hours times your no-show rate, and each one is valued at your hourly price.
What counts as a no-show here?
A booking where the customer didn't turn up, didn't pay, and the hour wasn't sold to anyone else. A cancellation early enough for you to resell the slot isn't a no-show. If you take payment upfront, a no-show doesn't cost you that money, but the hour still sits empty.
Where do I find my utilisation?
Divide the hours you sold in a month by the hours you could have sold. Venue Booking's Reports screen shows this for any period, counting approved bookings against the hours your resources are open.
How do I find my no-show rate?
Count it. For four weeks, mark every booking as used, cancelled in advance, or a no-show, then divide the no-shows by all bookings. Split it by peak and off-peak hours if you can, because no-shows at peak times cost the most.
Does Venue Booking take deposits?
Not as a deposit. The edition sold on our Venue Booking page can take the full price online when the customer books, as an option or for every booking. It also sends reminder emails before approved bookings, and a booking not paid online waits for your approval.
